Player Data
Player data associated with a participating server may be retained while the server has an active subscription or continues to use the relevant FreshieBOT features.
When a server’s subscription ends and the server becomes inactive, we intend to remove its server-specific player records from our active database within approximately 10 days.
This timeframe is an operational target rather than a guaranteed deadline. Removal may take longer in certain circumstances, including technical issues, and limited information may need to be retained for security, legal compliance, dispute resolution, or backup management.
Payment, invoice and consent records (for example the version of these terms you accepted, the price and trial shown to you, and invoices) are kept for as long as the law requires us to keep accounting records, even after a server’s game data has been removed. Payments are processed by Stripe, which receives your card details directly; we never see or store your card number. We may use an email service provider to send you billing notices and reminders.
Where information is retained for these purposes, we will restrict its use to the relevant purpose and delete or anonymise it when no longer needed.
Account Information
Server owner and dashboard account information may be retained while the account is active and for a reasonable period after closure where necessary for administration, security, resolving disputes, or meeting legal obligations.
Our intended standard retention period after account closure is up to 30 days, except where longer retention is justified or required by law.
Technical and Security Logs
Technical logs may be retained for a period appropriate to their purpose, including troubleshooting, detecting abuse, and investigating security incidents.
Actual retention periods may vary depending on the type of log, the system involved, and applicable legal requirements.

Server Owners and Administrators
